Where the delay usually starts
Most delays are not the broker being slow; they are missing or messy paperwork. A wrong load number, an unsigned BOL or an invoice without the rate confirmation can add days or weeks.
A same-day paperwork routine
- Take clear photos of the signed BOL and POD at the dock.
- Match the load number, rate and addresses to the rate confirmation.
- Send the invoice with all documents attached before you leave the area.
- Add approved accessorials such as detention or lumper with proof like receipts and timestamps.
- Keep a simple tracker with invoice dates and due dates.
Payment options
- Standard terms. Often Net 30 or longer, with no fee.
- Quick pay. The broker pays sooner for a discount. Check the quick pay fee against your margin.
- Factoring. An outside company advances cash against the invoice. See how factoring works.
- Choose brokers by payment record. Reliable payers are worth a slightly lower rate.
Follow up without friction
If an invoice goes past its due date, send a short, polite reminder with the invoice number and attach the documents again. Keep a record of each contact. For repeated late payers, change your terms or stop hauling for them. Use our free invoice generator to create clean invoices.
Where dispatch helps
A dispatcher can book loads with brokers who pay on time, review each rate confirmation and keep your paperwork organized. See how a dispatcher saves you money.
